We are seeking an experienced and dedicated Executive Assistant to provide exceptional support to our Chief Executive Officer in the heart of NYC. As an Executive Assistant, you will play a critical role in ensuring the smooth functioning of our executive office, enabling them to focus on strategic initiatives and high-level responsibilities. As an Executive Assistant based in our NYC office, you will have the opportunity to be part of a forward-thinking team, driving innovation and contributing to the success of a leading global SaaS company.

What youll do

  • Manage the CEO's complex and dynamic calendar, scheduling meetings, appointments, and travel arrangements efficiently to maximize their productivity and time.
  • Develop positive relationships and facilitate effective communication and collaboration across global internal teams, external partners, and stakeholders, serving as a central point of contact.
  • Prepare and coordinate agendas and materials for meetings, presentations, and off-sites, ensuring the CEO is well-prepared and equipped.
  • Handle incoming communications, including emails and phone calls with professionalism and discretion. Draft and proofread correspondence, reports and other documents as needed.
  • Take detailed notes during executive meetings, capturing key discussions, action items and decisions and distribute them to relevant stakeholders
  • Arrange all travel arrangements, including flights, accommodations, ground transportation, and itineraries for executives and visiting clients or partners.
  • Experience in thoughtfully organizing and coordinating company events, conferences, external and internal meetings, and executive retreats.
  • Collaborate with cross-functional teams and prioritize incoming tasks, projects, and requests, delegating when necessary to appropriate team members and contributing your expertise to achieve project objectives.
  • Perform ad hoc tasks and special projects as assigned by the CEO, contributing to the overall success of the organization.
  • Working in our NYC office 3-5 days per week, or when the CEO or the executive team is present.

What Youll Bring

  • Minimum of 7 years of experience as an executive assistant supporting C-level executives, preferably within a fast-paced, technology-driven environment. Directly supporting the CEO is highly desired.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines simultaneously, while prioritizing effectively.
  • Demonstrated ability to handle confidential and sensitive information with integrity and maintain a high level of professionalism.
  • A proactive and results driven individual with strong written and verbal communication skills, exhibiting professionalism and discretion in all interactions.
  • Proficiency in using productivity tools and software, such as Microsoft Office Suite, Google Workspace, and calendar management platforms.
  • Independent with a positive attitude, strong interpersonal skills, and a high degree of adaptability and resilience in a dynamic and team-oriented work environment
  • Proven problem-solving skills, with the ability to think critically, take initiative and adapt to changing priorities and deadlines.
  • Collaborative at core, and actively seeking out feedback and new opinions
  • Comfortable working in an agile and truly global team environment
  • Ability to work when needed during off hours to support the CEO and other executives, as needed.
